When do clubs and organizations meet?
A student activity period is scheduled from 12 -2 p.m.
on Tuesday of each week to provide time for students and faculty
to participate in clubs and activities of special interest.

NHTI Clubs and Organizations
Responsibilities of Clubs and Organizations
Student clubs and organizations at NHTI are formed for the purpose
of educational enhancement, social interaction and development,
and/or personal fulfillment. Below are the responsibilities that
a club or organization must follow in order to continue in good
standing at NHTI.
1. To ensure that all the proper paperwork has been completed in
order to be sanctioned as an approved club or organization
2. That an advisor has been identified, selected and consents to
the responsibilities of an advisor (See organization advisor’s responsibilities.)
3 That the club or organization has sufficient funding, through
fundraisers and/or Student Senate appropriation(s), to conduct business.
4. If a club or organization plans a function, the individual or
group will obtain a function request form from the Office of Student
Affairs, and the following procedures will be carried out: a.
Establish that the desired date and time is either open or compatible
with other events scheduled at the same time. This can be determined
by checking with the Office of Student Affairs. b
Establish that necessary facilities to conduct the events are available
by checking with the Reservation Coordinator in the President’s
Office, Little Hall.
c. Be aware that ALL STUDENT ACTIVITIES, including
social events, athletic games and practices, MAY NOT BE SCHEDULED
DURING THE WEEK OF FINAL EXAMS, STARTING WITH THE SUNDAY PRIOR TO
EXAM WEEK. Any exception to this policy must be made by the Vice
President of Student Affairs prior to the week of finals. d A follow-up evaluation form must
be submitted to the Vice President of Student Affairs after each
event. (Forms are available at the Student Affairs office.) Examples
of events include: dances, car washes, bake sales, raffles, trips,
etc. e To work directly with the club advisor
in planning and developing the function.
f Make certain that functions begin and end promptly and, particularly
when functions fall on class days, that functions end by 12 midnight.
g. To ensure that students show their validated
NHTI ID card as their authorization to attend the function.
h To ensure that no student brings more than one
guest, and that a student having a guest signs his/her name along
with the name of the guest in the Guest Book.
i To ensure that only the beverages and food furnished at the function
be allowed, and that they be consumed in the approved area.
j A thorough clean-up of the area being used for
the function is to be completed at the conclusion of the function.
k. Once the function request form is complete,
events will be posted on the on-line NHTI Campus Activities Calendar
by the web site coordinator.
5. If a club or organization plans an off-campus function, guide-lines
for off-campus activities will be adhered to. Please refer to “Organization
Function Advisor Guidelines for Off Campus Activities”
Organization Advisors Responsibilities
Because student groups may not know all NHTI rules and
regulations or State laws regarding civil procedures, it is NHTI’s
position that each approved organization must have an advisor (either
a faculty member or approved staff member) whose role will be to
guide and nurture the group in order to adhere to the philosophy
and intent of the organization and NHTI’s mission statement. The
responsibilities of the advisors are to:
1. Serve as a role model to the students of NHTI.
2. Assist the organization to plan, organize and execute an activity
or event, including the completion of all necessary paperwork authorizing
the event or activity, and the evaluation of the event.
3 Interpret college policy in reference to questions or concerns
that may arise during an activity or event.
4. Assist in determining the academic eligibility of the members
of the organization for their continued participation by submit-ting
names of students to the NHTI Registrar. The eligibility requirement
is to be established by each organization and stated as such in
their constitution.
5 Handling Cash - All cash transactions at NHTI must be handled
by the Bursar’s Office located in Sweeney Hall. No employees, including
faculty advisors to student organizations should collect any fees
or dues. All monies from student organizations should be deposited
to and withdrawn from the Business Office by the student officers
of that organization using the proper receipt/voucher system. See
Campus Clubs and Organizations Handling Revenue, page 16.
6. Be aware of NHTI rules and regulations.
Function Advisors Responsibilities
Student clubs and organization at NHTI frequently plan activities
for the purpose of educational enhancement, social interaction,
and personal fulfillment for members of the NHTI community, both
on campus and off-campus. Because student groups may not know all
the implications as to what activities are appropriate based on
NHTI rules, regulations, or State laws regarding civil procedures,
it is NHTI’s position that at such functions at least one faculty
or approved staff member must be in attendance. Below are the responsibilities
of the advisor(s) at an approved NHTI function:
1 To serve as a role model to the students of NHTI.
2 To be present during the entire function, including the cleanup
after the function is conducted.
3 To make college policy interpretations or decisions in reference
to NHTI’s rules and regulations on any questions that may arise
during the activity or function.
4 To notify Campus Safety when NHTI rules and regulations are violated.
5 Should an incident occur whereby NHTI rules and regulations are
violated, a complete written report will be made to the Vice President
of Student Affairs.
6 Please refer to Guidelines for Off-Campus Activities when a function
advisor is responsible for an off-campus event. These guidelines
should be adhered to as closely as possible in order to ensure a
successful activity.
7. In the event that an incident* should occur off-campus at an
NHTI sponsored activity, one of the individuals listed below should
be contacted in the order listed:

A complete report of the incident will be written and presented
to the Vice President of Student Affairs
Do you have to have an Advisor?
Each student organization must have a faculty/staff advisor.
If students wish to nominate a faculty/staff member to serve as
advisor, the nomination must be made to the Vice President of Student
Affairs before consulting the faculty/staff member. The approval
of the Vice President is necessary to equally distribute responsibilities.
This will ensure that no faculty/staff member is asked to assume
an undue load.
Is it possible to start a new club?
Yes there are certain procedures to starting a new club or organization.
Procedures for forming New Student Organizations are as follows:
1. Two or more students are necessary to form a new student group
or activity. The actual number depends on the type of activity being
planned by the group.
2. Philosophy and intent of the organization and its recommended
advisor are to be discussed with the Coordinator of Campus Activities
and Community Service Programs.
3. Final approval on the appointment of an advisor is given by the
Vice President of Student Affairs.
4. A letter of intent and the name of an approved advisor should
then be submitted to the Student Senate for recognition as an approved
organization or group at NHTI.
5. The organization will not be required to have an approved constitution
at the time of its first request for funds from Student Senate.
However, before a second request for funds is approved, a constitution
must be submitted to, and approved by, the NHTI Student Senate.
